Setting up brokers: Broker organisations are held in SchemeServe as Agent accounts. Once an Agent account has been created, you can add individual users and control which products are available to them.
Choose how to add your brokers
There are two ways to add broker or Agent accounts:
- Import brokers: use a CSV template to add several accounts together.
- Add brokers individually: create one Agent account at a time.
Both methods create the broker's Agent account. You can then create individual users beneath that account or allow an admin-level broker user to manage users for their own company.
Recommended: Use the import process when adding several brokers. Add brokers individually when you only need to create one or two accounts.
Broker admin users
A broker user can be made an admin-level broker user. This allows them to create and manage all individual users attached to their own brokerage or Agent account.
This is useful when the brokerage wants one person to manage staff access without asking the site's administrator to create every new broker user.
What this permission means: Broker admin access only allows the user to manage users belonging to their own brokerage. It does not give them any further permissions, access to additional products or wider site administration access.
Importing brokers
Watch the demonstration, then follow the steps below to import multiple broker accounts.
- Open the Agents tab.
- On the right, select Import Agents, then select this format to download the CSV template.
- Complete the template. Add the broker names, contact details, usernames and temporary passwords. Optional fields, such as FCA and fax details, can be left blank where they are not required.
- Upload the completed file and import the list.
- Open each imported Agent account and select People at this agent to add individual broker users.
- If the broker should manage their own company users, make the main broker user an admin-level broker user.
- Make sure the Agent account is set to Enabled in the top-left corner.
Important: Making a broker user an admin allows them to add and manage users for their own company. It does not give them additional access to the rest of SchemeServe.

Configure the Agent account
Select edit this agent to review and configure settings such as:
- TOBA details
- Access to specific schemes
- The email address used for statements
- Commission settings
Adding a broker individually
- Open the Agents tab.
- Select New Agent in the top-right corner.
- Enter the name of the broker organisation.
- Complete all mandatory fields and save the Agent account.
- Select People at this agent to create the broker's individual users.
- Choose whether the main broker user should be an admin-level broker user who can manage their own company users.
- Set the Agent account to Enabled and use edit this agent to configure its scheme access and other settings.
Managing broker data
Tip: Store your broker details in a lookup file. This makes the information easier to maintain and helps keep rating files smaller and cleaner. Where possible, avoid storing broker commission directly against the Agent account and manage it through the lookup file instead.
Key points to remember
- Use the CSV import when adding several broker accounts.
- Create individual broker users beneath the correct Agent account.
- Admin-level broker access allows the broker to manage all users for their own brokerage, but grants no further permissions.
- Check scheme access and make sure the Agent account is enabled.
- Keep broker details and commission in a lookup file where possible.
