Users & Permission Levels

Accessing SchemeServe as user

How access works: SchemeServe access is controlled by the type of account a person has, their user level or access group, any additional permissions enabled for them, and their referral authority level. These settings should match the work the person needs to carry out.

Is this a site user or an Agent user?

Before creating an account, decide which type of user is needed:

  • Site user: an internal user, such as an administrator or underwriter. Their access is managed from the site's Admin area.
  • Agent user: an individual login attached to an Agent account. SchemeServe commonly uses Agent to mean a broker organisation or broker account.

Choose the correct route: Agent users can only work with the schemes and records made available to their Agent account. Site users and Agent users therefore follow different setup routes.

How to create a site user

Only an administrator can add a new site user.

  1. Go to Admin.
  2. Open User and select Add New.
  3. Enter the user's details, including their email address and a temporary password.
  4. Select the appropriate user level or access group and set their referral authority level.
  5. Enable any additional permissions the user needs, such as Accounting access, where available.
  6. Save the user, then select Resend Welcome Email.

What happens next?

  1. The new user receives a welcome email.
  2. They follow the email to the SchemeServe login page.
  3. They reset the temporary password and then sign in using their own credentials.
  4. The areas and actions available to them are determined by the access settings selected on their user record.

Welcome email not received? Check that the address on the user record is correct, ask the user to check their junk folder, and use Resend Welcome Email again.

How to create an Agent or broker user

An Agent user must belong to an Agent account. A site administrator can add individual users from People at this agent. Alternatively, an existing admin-level broker user can add another user for their own company:

  1. Open Settings in the top-right corner.
  2. Select Manage users for my company.
  3. Select Add new.
  4. Enter the person's name, username, temporary password and email address, then save.

Remember: The new Agent user receives a welcome email and uses the login page to reset their password. Making a broker user an admin allows them to manage users for their own company; it does not give them wider access to the rest of SchemeServe.

New Agent account: a broker can register from the site's Get Quote page by selecting Register a new agent account, or the site's admin team can create the account. In either case, the site's admin or underwriting team must approve and enable the account before it can be used. Once approved, the broker receives an activation email and login details.

User types and levels

User type describes who the person is and where their account sits. Their level, access group and additional permissions determine what they can do.

Type or level What it means
Administrator An internal site user with broad administrative access. Depending on the site's setup, this can include managing users, Agents, schemes, Question Sets, rating files, rules, reports and site configuration.
Underwriter An internal user who reviews risks and referrals, approves quotations and carries out the policy actions permitted by their access and authority level.
Power User A user level required for some advanced areas. For example, Power User is the minimum level required for Digit, but Accounting access must also be enabled on the user's record.
Agent or broker user An individual login attached to an Agent account. The user can quote, place and service business that the site has made available to that Agent, subject to the Agent's scheme access and the user's permissions.
Admin-level Agent or broker user An Agent user who can create and manage additional users for their own company. This setting does not grant wider site administration permissions.

Permissions and what they mean

SchemeServe access is layered. Changing one setting does not necessarily give access to every related area.

Permission or control What it controls
User level or access group The main set of areas and actions available to the user. Choose the lowest level that still allows the person to do their job.
Administrator access Allows access to administrative functions. Creating a site user requires administrator access.
Agent admin Allows a broker user to add and manage users for their own Agent account only.
Scheme access Controls which schemes are available to an Agent account. An Agent can be restricted to specific schemes.
Accounting access Enables Digit for the individual user when the site and relevant schemes have also been enabled. The user must be at least a Power User.
Referral authority Controls the referral levels the user can clear. This is separate from their general user level.

Important: Available controls can vary by site configuration and enabled modules. A user may have the correct general level but still need a module-specific permission or access to a particular scheme.

Referral authority levels

Referral authority determines which referrals a user can clear. A referral is assigned an authority level when the rule is built, and the user's authority must be high enough to clear it.

Example: A user with referral authority level 9 cannot clear a referral set at level 10. The case must be passed to a user with sufficient authority.

The demo below covers the basics of navigating a SchemeServe site. The exact tabs and actions shown to each person depend on their user type, access group and permissions.

Key points to remember

  • Create the person under the correct account type: site user or Agent user.
  • Use the lowest access level that allows the person to carry out their role.
  • Check module-specific access as well as the main user level.
  • Set referral authority separately from general permissions.
  • Send the welcome email so the user can reset their password and sign in.
